Google Business Profile checklist for Pune businesses

ElasticMailer team, , 6 min read

When someone in Kharadi searches for “dentist near me”, “interior designer in Viman Nagar” or “website developer Pune”, the first results they see are usually the map pack: three businesses pulled from Google Business Profile. For clinics, coaching institutes, real estate offices, salons and service businesses, that map pack often brings in more calls than the website itself.

This checklist covers what we set up and fix for Pune businesses, in the order we do it.

1. Claim and verify the right profile

Search for your business name on Google Maps first. Many Pune businesses already have a profile created by a customer, an old employee or a previous agency.

  • If a profile exists, request ownership from inside Google Business Profile rather than creating a duplicate.
  • If there are duplicates (common after an office move from, say, Hadapsar to Magarpatta), report them as duplicates or ask Google support to merge them.
  • Expect verification by video in most cases. Record a short continuous clip showing the signboard outside, the street or building name, and the inside of your office or shop with tools of your trade visible.
  • Use a business email you control, and add at least one other owner or manager so you are not locked out if someone leaves.

2. Get the basics exactly right

Business name

Use your real-world name as it appears on your signboard, invoices and website. Adding keywords (“Sharma Dental Clinic Best Dentist Kharadi”) breaks Google’s guidelines and is a common reason for suspension. Competitors can and do report it.

Address and service area

Decide which type of business you are:

  • Storefront: customers visit you (clinics, restaurants, showrooms, institutes). Show your address.
  • Service-area business: you go to customers (pest control, home tutors, AC repair, interior contractors). Hide the address and set service areas.
  • Hybrid: both. Show the address and add service areas.

Google allows up to 20 service areas, and the overall area should be within roughly two hours’ drive of your base. For an east Pune business, a sensible set might be Kharadi, Viman Nagar, Wagholi, Hadapsar, Magarpatta, Kalyani Nagar and Koregaon Park. If you genuinely serve the west side, add Baner, Aundh and Hinjewadi, but do not list the whole of Maharashtra.

Write the address the way India Post and your GST certificate do, with the building name, lane, locality, city and PIN code. For example: “Office 4, Example Business Centre, Kharadi, Pune, Maharashtra 411014”. Use that same format everywhere.

Categories

Categories have a large effect on which searches you appear for.

  • Choose the primary category that describes your core business, not your broadest one. “Pediatric dentist” beats “Dentist” if that is your focus; “Real estate agency” and “Real estate developer” are different things.
  • Add additional categories (up to nine) only for services you actually offer.
  • Look at the top three map results for your main search and note their categories. Free tools and browser extensions show these.

Hours, phone and website

  • Add regular hours and special hours for Diwali, Ganesh Chaturthi and other closures. Wrong hours lead to bad reviews.
  • Use a local mobile or landline number that is answered. Track it with a call-tracking number only if the number is consistent across listings.
  • Link to the most relevant page, not always the homepage. A clinic with several branches should link each profile to its own branch page.

3. Fill in the details most profiles leave empty

  • Description (up to 750 characters): what you do, who you serve and which areas, in plain language. No links, no promotional claims.
  • Services or products: list each with a short description and a price or price range where sensible.
  • Attributes: wheelchair access, women-led, online appointments, languages spoken.
  • Photos: exterior from the street (helps people find you), interior, team, work samples. Add new photos every month. Real photos perform better than stock images.
  • Booking or appointment links, if you use a booking system.

Google retired the Questions and answers feature on Business Profiles in late 2025 and now generates answers in Maps from your profile, website and reviews. That makes the description, services and website FAQ more important: answer common questions (parking, fees, timings, languages, insurance accepted) there.

4. Build a steady flow of reviews

Reviews influence both ranking and whether people call. Aim for a steady stream rather than a burst.

  1. Create a short review link from your profile dashboard.
  2. Ask every satisfied customer at the right moment: after a successful treatment, at handover, after a course result.
  3. Send the link on WhatsApp or SMS with one line of thanks. Print a QR code for the reception desk.
  4. Reply to every review within a few days. Thank people by name for positive ones. For negative ones, apologise briefly, state the facts politely and take the conversation offline.

What not to do:

  • Do not offer discounts or gifts in exchange for reviews.
  • Do not filter customers so that only happy ones are asked (review gating).
  • Do not let staff, friends or agencies post reviews. Google removes them and can restrict your profile.
  • Clinics should never confirm in a reply that someone was a patient or mention their treatment.

5. Post regularly

Business Profile posts show on your listing and help people decide. Use them for:

  • Offers with dates (festive discounts, free consultations)
  • Updates: a new branch, new service, new equipment
  • Events: open days, workshops, admissions dates

Once a week is a good rhythm. Use your own photo, keep the text short and add a clear button such as Call or Book. Posts are a supporting signal; they will not make up for wrong categories or no reviews.

6. Keep NAP consistent everywhere

NAP stands for name, address and phone number. Google cross-checks your details across the web, and mismatches reduce trust.

Check and correct your listings on:

  • Your website footer and contact page
  • Justdial, Sulekha and IndiaMART
  • Industry sites: Practo for clinics, MagicBricks and 99acres for real estate, Shiksha for education
  • Facebook, Instagram and LinkedIn pages
  • Apple Business Connect (for Apple Maps) and Bing Places

Keep a simple spreadsheet of every listing, its login and the exact NAP used. Update all of them when anything changes.

7. Build local landing pages that deserve to rank

If you serve several Pune localities, a page per area can help, as long as each one is useful. A page that just swaps “Kharadi” for “Baner” is thin content and rarely ranks.

A good local page includes:

  • The service and the locality in the title and heading, written naturally
  • Real details: the nearest branch, travel time, landmarks, parking, projects completed in that area
  • Photos and testimonials from customers in that area
  • An embedded map and the same NAP as your profile
  • LocalBusiness structured data (schema) with your name, address, phone and opening hours

For a business with one office in Kharadi, two or three strong pages (Kharadi, Viman Nagar, Wagholi) beat twenty weak ones.

8. Measure what matters

Check the Performance section of your profile monthly: calls, direction requests, website clicks and the search terms people used. Add UTM parameters to your profile’s website link so Google Analytics shows those visits separately. Track rankings for a handful of searches from different points in Pune, since map results change from street to street.

  • Real business name, no keyword stuffing
  • Correct address format or service areas (max 20)
  • Specific primary category, relevant secondary ones
  • Hours including festival closures
  • Description, services, attributes and fresh photos
  • A review request process and replies to every review
  • Weekly posts
  • Matching NAP across directories and social profiles
  • Useful local landing pages with schema
  • UTM-tagged website link and monthly reporting
